SCANTOURS
GENERAL CONDITIONS
RESERVATIONS:
It is recommended to make reservations as
early as possible. Reservations made within 60 days of departure subject
to
express mail and additional handling fees. It
is essential that Scantours be informed of your exact U.S. departure date
at time of booking.
QUOTATIONS:
A non-refundable minimum $50 per person is required to receive customized
itinerary quotations. This amount will be credited towards any travel
booking.
DEPOSIT & FINAL PAYMENT:
A deposit of $250-500 per person is required
at the time of booking to secure your reservation. Final payment is
usually due 60 days prior to your departure
date. Some products may require higher
deposits.
HANDLING FEES/CHANGE FEES:
A handling fee of $25 per person is charged to each
booking. A minimum administrative fee of $25 per person will be charged for each
change to original reservation.
CANCELLATIONS: All cancellations
must be made in writing. The date of cancellation shall be the date when
written notice is received by Scantours. Outside suppliers cancellation
fees may also apply.

REFUNDS:
Airline Tickets are issued after
final payment is received and are non-refundable.
Rail Transportation not included in a package is subject to a
minimum cancellation fee of 15% of the cost of the
Rail Ticket or Rail Pass.
Hotel Cheques not included in a package are subject to a 25%
administrative fee and must be returned with 90 days
of purchase.
Unused services for any portion of the itinerary not used by
participants after such travel or tour has started are
non-refundable.
VISAS: In general, no
visas are required for travel to Scandinavia. For hotel tours to Russia, a
visa is required. If visa is denied for any reason, cancellation fees will
apply. It is the responsibility of each traveler to ensure they have their
proper visas prior to entry into the visiting country. Arrangements in the
Baltics may also require Visas`
LAND ARRANGEMENTS: We
reserve the right to offer alternative hotels based on similar category in
case of non-availability. Prices are based on exchange rates published December
01, 2005. Any changes in tariffs, taxes and currency rates may
affect the prices and itineraries published. In the unlikely event of a
complaint, your tour escort, local contact, or hotel must be notified at
once so that the situation can be rectified on the spot. If satisfaction
is not reached, any claim must be made in writing within 7 days after
completion of the tour. Scantours cannot accept liability for any
infringements or omissions by third parties where no immediate
notification to the responsible party is made in writing at the time of
such incident.
A NOTICE ON OUR RATES: The rates
listed for our tours and hotels presented in our brochure are negotiated
for the entire 2006 season. Some tours and
hotels occasionally offer reduced rates during certain periods. Such
offers are always made on short notice and will unfortunately not have a
bearing on prices we have negotiated. The receipt of full payment by
Scantours shall be considered as acceptance of services and rates quoted. In cases where our rates are negotiated in
currencies other than USD, we reserve the right to make adjustments in our
published and invoiced prices if and when there are decreases or increases
in the value of the USD versus foreign currencies.
FINAL DOCUMENTS:
Are provided by Scantours or their agents
overseas upon arrival. These documents are issued in time for departure.
Valid passports are required for all travelers.
NOT INCLUDED IN OUR PRICES:
Fees for passport, visas, accident and travel insurance; tips for guides
and drivers; transportation not included in itinerary; items of a personal
nature, such as laundry, telephone calls etc.
RESPONSIBILITY:
Scantours acts only as agent for the passenger in regard to travel whether
by railroad, motorcoach, private car, boat, aircraft or any other
conveyance and assumes no liability for injury, damage, loss, accident or
delay of irregularity which may be occasioned either by reason of defect,
through the acts or defaults of any company or person engaged in conveying
the passengers or in carrying out the arrangements of the tour. Scantours’
full Disclaimer of Responsibility is on file at our offices and is
available on request.
